Chapter 3. TIMELINE

When Exactly Is This Part Due and How Late Can It Be?

The simple answer is that it's always due yesterday and no, it can't be late. Actually, due dates for reports are quite specific and contained in the contract (Agreement: #17). Since they are known well ahead of time, it is expected that you will plan ahead and submit them on time. There are times, however, when a library is waiting to receive necessary information from its business office or vendor to complete a report. In these instances, the narrative part of the report should be sent in on time and the financial part as soon as the information is complete. In any event, you should contact your Project Consultant if any part of the report will be late. It is especially important that the report due October 15th is submitted on time since Washington is not as flexible as we are in their deadlines. Your project has been scheduled to begin on October 1, 2005.

2005  
JULY Subgrantee receives award letter and recommendation form with any contingencies noted
AUGUST-SEPTEMBER Contingencies are met, negotiations regarding any changes to project or budget are conducted and pre project activities take place
  Contract packet is distributed to subgrantee's agency director. Grants Management Manual is sent to project director. Signed contracts, agreements and first disbursement requests are due back at agency and processed; first disbursements made immediately after October 1
2006  
APRIL 15 Progress Report is due
SEPTEMBER 1 Expenditure of funds is complete and any remaining invoices paid by September 30
OCTOBER 15 Final Report is due with all funds reported as expended and activities and accomplishments for entire project summarized in narrative section
2007  
APRIL 1 Informal follow up report should be e-mailed to your consultant
SEPTEMBER Audits for years ending June 30, 2006 and June 30, 2007 due thirty days after completion of audit (unless all disbursements and expenditures occurred in the same state fiscal year) or town is exempt (SEE AUDITS)

Two year projects are required to submit reports as outlined above - April 15, 2006, October 15, 2006, April 15, 2007, October 15, 2007.
